Purpose Statement
The Senior Paralegal provides critical operational and administrative support to the Legal Department by managing legal documentation, overseeing case tracking and contract monitoring systems, and ensuring the accurate preparation of board-related records and internal legal files. Serving as the lead non-lawyer support staff, the Senior Paralegal supervises the work of the paralegal and legal assistants, ensures compliance with legal protocols, and upholds the confidentiality, accuracy, and efficiency of the Legal Office’s daily operations.

Key Results Area: Duties and Responsibilities
Legal Drafting and Documentation Management

Accurate and timely drafting of contracts, affidavits, and other legal documents.
Monitor deadlines for contracts, pleadings, board issuances, and compliance submissions.
Identify areas for improvement and recommend to the Chief Legal Counsel more efficient workflows and processes for contract management, legal documentation, and administrative support.
Legal Research and Analysis

Submission of comprehensive and well-sourced legal research memoranda aligned with Philippine laws, jurisprudence, and regulatory issuances.
Well-versed, or at least teachable, in various legal databases (e.g., Lex Libris, CD Asia).
Knowledgeable in proper legal citation.
Board and Governance Support

Attending board meetings and taking notes; Drafting and formatting board resolutions, minutes of meetings, and agendas.
Collaborate with the Office of the Board to ensure timely circulation of board documents.
Draft and finalize Implementation Reports, Action Memos, and similar governance records.
Legal Support and Compliance Coordination

Assist Legal Associates and Chief Legal Counsel in contract and policy reviews.
Track compliance obligations across departments and monitor action items.
Help in the preparation of legal demand letters, templates, and internal legal memos.
Coordinate with departments to gather required legal documents and case information.
Support project-based legal compliance (e.g., donor MOUs, procurement templates).
Litigation and Case Support

Efficient management of docket schedules, case files, and coordination with courts.
Timely filing and service of legal documents.
Mentoring and Oversight

Supervise the daily workflow of the Paralegal and Legal Assistants; skills transfer and performance tracking.
Review work outputs for completeness, accuracy, and consistency with legal protocols.
Mentor junior staff on documentation, filing standards, and professional conduct.
Ensure timely and efficient completion of administrative legal support tasks.
Provide orientation and coordination support for onboarding legal staff or consultants.
Job Specifications
Qualifications/Minimum Education:

Juris Doctor or Bachelor’s Degree in Legal Management, Political Science, or a related legal/pre-law course.
Personal Qualities and Skills:

Skilled in legal writing such as preparing contracts, pleadings, affidavits, legal memoranda, and correspondence with precision and clarity.
Strong attention to detail and document control.
Ability to supervise and coordinate workflow in a legal setting, delegate effectively, and contribute positively to a collaborative legal team environment.
Proficient in using legal databases and interpreting laws, jurisprudence, and government issuances.
Experienced in handling court procedures, docket monitoring, and coordinating with regulatory bodies such as DOLE.
Excellent written and verbal communication in both English and Filipino; capable of explaining legal concepts clearly to non-lawyers.
Efficient in managing case files, schedules, and legal documentation with high attention to timelines and priorities.
Demonstrates high ethical standards and the ability to handle confidential legal information with discretion.
Proactively identifies legal support needs and takes ownership of assigned tasks with minimal supervision.
Ensures accuracy in legal documentation, filings, and research to prevent costly errors or delays.
Work Experience:

With at least 3 years of relevant experience as paralegal or legal support in a legal office, law firm, corporate/non-governmental organization legal department.
Exposure to contract management, litigation, and regulatory compliance is an advantage.
Prior experience in board support, document tracking, and filing systems.
Familiarity with Philippine legal procedures, contracts, and board governance.
NGO or public service background is an advantage.
