Position Summary
The IV & QA Assistant will support the implementation and strengthening of Independent Verification (IV), Quality Assurance (QA), activities through field monitoring, data management, reporting, and coordination with program teams. The role is responsible for conducting field verification visits, reviewing and analyzing monitoring data, supporting accountability and monitoring mechanisms, and ensuring the quality, accuracy, and confidentiality of collected information. The position also contributes to strengthening IV & QA systems, improving monitoring tools and reporting processes, and supporting evidence-based program implementation in line with humanitarian principles and organizational standards
This position is based in Aleppo, with occasional travel to partners and field visits as security conditions allow and based on request.
The employee is also required to;

Key Responsibilities
1.Reporting, Data Management, and Coordination
• Coordinate regularly with program teams to ensure monitoring and verification plans are updated on a monthly basis and aligned with program priorities and implementation plans.
• Organize and participate in regular coordination meetings with program teams to discuss monitoring plans, findings, challenges, and follow-up actions.
• Review and verify the quality and accuracy of data collected by External verification mechanism and report any identified gaps or inconsistencies to relevant teams.
• Compile, clean, analyze, and interpret monitoring and External verification mechanism data, and prepare timely analytical reports and summaries for IV management and program teams.
• Support the development, review, and improvement of monitoring and data collection tools to ensure accuracy and relevance.
• Maintain organized archiving systems for monitoring data, reports, photos, and supporting documents, and provide documentation upon request.
• Translate reports, monitoring findings, and data between Arabic and English when required.
• Monitor contextual developments, including security, access, market, and logistical changes within assigned areas, and communicate updates to IV management in a timely manner.
2. Field monitoring
• Conduct field verification visits, internal monitoring activities, and investigations when requested, particularly for high-risk and high-priority activities such as cash distributions and other sensitive interventions, ensuring compliance with organizational standards and procedures.
• Support raising awareness among targeted beneficiaries and host communities regarding accountability mechanisms, complaint and feedback channels, in coordination with the Accountability team.
• Conduct regular field monitoring visits using various quantitative and qualitative data collection methods, including direct observation, post-distribution monitoring (PDM), surveys, focus group discussions (FGDs), and key informant interviews (KIIs) when requested.
• Develop and implement clear project monitoring plans in close coordination with MEAL staff, project managers, and partners.
• Compile, clean, analyze, and document monitoring findings, and provide timely reports and practical recommendations for program improvement.
• Ensure all field activities are conducted in line with humanitarian principles, safeguarding standards, and data confidentiality requirements.
• Follow up on identified issues and support program teams in tracking corrective actions and recommendations.
3. IV & QA Systems Strengthening and Improvement
• Support the IV, QA & TPM Coordinator in strengthening and improving IV & QA systems, processes, and operational workflows.
• Contribute to the development, review, and enhancement of monitoring tools, data collection forms, reporting templates, and tracking systems.
• Support the implementation and rollout of new monitoring mechanisms, tools, and quality assurance processes based on program needs.
• Support standardization of monitoring and reporting procedures across projects and partners when applicable.
• Assist in maintaining accurate documentation, guidance notes, and SOPs related to IV, QA, and TPM processes.
4.OTHER RESPONSIBILITIES AS ASSIGNED:
Required Qualification, Skills and Experience
Bachelor’s degree or last year in study in a relevant field, or equivalent combination of education and work experience in MEAL or Accountability.
Demonstrated integrity and commitment to humanitarian principles, including impartiality, independence, and neutrality.
Minimum 1–2 years of relevant experience in MEAL, Accountability, Monitoring & Evaluation, community engagement, or related humanitarian fields.
Experience in program monitoring, needs assessments, data collection, and data analysis.
Good understanding of on-site monitoring methodologies and accountability mechanisms.
Proficiency in electronic data collection and management tools such as Kobo Toolbox, ODK, Survey Monkey, or similar platforms.
Strong computer skills, particularly in MS Word, MS Excel, and MS Outlook.
Ability to manage, clean, analyze, and report data accurately and confidentially.
Proven ability to handle sensitive and safeguarding-related information with confidentiality and professionalism.
Strong interpersonal, communication, coordination, and facilitation skills, with the ability to engage effectively with communities, IDPs, local authorities, partners, and humanitarian actors.
Excellent organizational and time-management skills, with the ability to manage multiple tasks simultaneously and attention to detail.
Proven management and teamwork skills.
Fluency in spoken and written Arabic, with good command of English.
Ability and willingness to travel within Syria.
Desirable:
Certifications in MEAL, Accountability, Data Collection, or related technical courses.
Familiarity with any statistical software.
Experience in training/capacity building.
Experience with Power BI, data visualization, or advanced Excel functions for analysis and reporting.
Experience in conducting focus group discussions (FGDs), key informant interviews (KIIs), and community consultations.
Strong problem-solving and analytical thinking skills.
