Description
Job Purpose
To manage, implement, and support administrative activities related to field offices in Syria, ensuring the delivery of high-quality administrative services to the staff of the Syrian Forum.
Key Responsibilities
Prepare the monthly budget for the training camps and submit it to the Camp Manager and the Administrative Affairs Coordinator.
Prepare purchase requests to cover the approved budget needs for the training camps.
Supervise the maintenance of camp facilities and the equipment used during training, while following up on all maintenance requests submitted by the training team or trainees.
Request, secure, and distribute stationery and all necessary training supplies to trainers and trainees.
Follow up on and renew contracts for training venues or camp facilities, including monitoring the payment schedule.
Organize logistical arrangements for meetings, workshops, training sessions, and events related to the camps.
Coordinate visitor schedules for the camps and oversee the implementation of security measures.
Supervise camp service staff and ensure the provision of all necessary consumables and cleaning supplies.
Track and archive all documents and records related to purchase requests and logistical arrangements for the camps.
Submit reports on all tasks and activities to the Human Resources and Administrative Affairs Coordinator and report any operational challenges.
Carry out any additional tasks related to the training camps as assigned by the direct manager or the Camp Manager.
Uphold all principles of protection from sexual exploitation and abuse (PSEA) and demonstrate the highest level of responsibility in reporting any suspected cases.

Qualifications (Education & Work Experience)
Essential:
University degree in a relevant field (Business Administration, Commerce, or Economics).
Solid experience in administrative work.
Strong administrative skills.
Good written and verbal communication skills.
Proficiency in both English and Arabic.
Familiarity with and commitment to humanitarian work standards.
Preferred:
Previous experience in the humanitarian sector.
Previous experience in administrative affairs.
