BACKGROUND
WUSC is a Canadian global development organization working to catalyze positive education and economic outcomes for young people. We bring together and collaborate with a diverse network of partners (including students, volunteers, schools, governments, not-for-profits, and businesses) who share this mission. Together, we influence systems change, and foster inclusive, youth-centered solutions that enable young people to thrive and belong. We work with all young people, with a focus on women and displaced populations. WUSC currently operates in 28 countries across Africa, Asia, the Middle East, and Latin America and the Caribbean, as well as in Canada, with an annual budget of approximately CAD $65 million. Our global team includes over 100 staff in Canada and more than 250 staff internationally, implementing a diverse portfolio of development projects in collaboration with numerous multilateral and bilateral donors, and philanthropic foundations.
RESPONSIBILITIES
Under the supervision of the Finance Manager, the Finance Assistant will be responsible for supporting the financial operations of WUSC in Malawi, including daily financial management, accounting tasks, processing financial transactions, and ensuring accurate record-keeping, supporting implementing partners in financial matters such as due diligence, accountability process, partner financial reporting.
Budgeting and Financial Planning
Assist in preparing the annual budget by compiling data and working with project teams.
Support the project team and partners in budget preparation, tracking expenditure and reporting.
Assist in tracking of allocated budgets and ensuring proper allocation per donor or grant requirements.
Transaction Processing and Cash Management
Support processing accounts payable and receivable, including issuing invoices, paying vendors, and recording donations or grant income.
Support preparation and issuance of advances and eligible expense reimbursements for partners and staff including partner requests for disbursements and ensuring all disbursements are acknowledged and properly documented and in line with organizational policies.
Liaise with vendors, banks, and partners to resolve payment or account-related issues.
Financial Recordkeeping and Reconciliations
Assist in the maintenance of accurate and up-to-date financial records using designated accounting or financial management software.
Support reconciliation of partner financial reports including verification of bank statements, debit card accounts, and petty cash on a monthly basis.
Support the timely preparation and reconciliation of the WUSC management accounts.
Support in the monthly closure of accounts within required deadlines and guidelines.
Partner Management and Capacity Strengthening
Follow up with the project team and partners on outstanding advances, reports and ensuring all relevant supporting documentation is received properly filed.
Support project team and partners in building strong financial monitoring systems and expenditure tracking.
Support program staff by providing guidance on expense coding and budget tracking.
Reporting, Compliance and Audit
Support the generating of regular financial reports (e.g., monthly BVA report) for review by management.
Support ensuring that all financial processes comply with organizational policies, guidelines, and applicable laws.
Support the maintenance of proper documentation for all transactions and ensure audit-ready records.
Assist in preparing documentation for annual audits, and donor reports.
Perform other duties as assigned.

QUALIFICATIONS AND COMPETENCIES
Education
Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred. An Associate’s degree with relevant experience may be considered.
Experience: Minimum of 3 years of experience in accounting or financial administration, ideally within a nonprofit or development organization.
Experience & Competencies
Familiarity with accounting principles, including fund accounting and restricted funds, is an advantage.
Knowledge of accounting software (e.g., Sage) and Google Suite, especially Google Sheets and other recognised financial management applications..
Accuracy in data entry, financial calculations, and record-keeping.
Ability to manage multiple tasks, prioritize deadlines, and maintain orderly financial systems.
Clear verbal and written skills to interact with staff, vendors, and external partners.
Capability to identify and resolve discrepancies or issues in financial records.
Commitment to handling sensitive financial information with confidentiality and ethical standards.
Excellent written and verbal communication skills in English.
Curious, enthusiastic and willing to innovate and adapt.
Languages
Complete fluency in English is required. Knowledge of French is an advantage.
