HelpAge International is looking to recruit an organised and dynamic Global Operations Officer who will provide responsive operational support to global team and country office colleagues. You will be a key member of our forward-looking operations team; supporting the operational systems and processes that enable HelpAge International to function, deliver on our commitments and comply with statutory requirements and industry standards.

 

Working with colleagues across our global offices, you will support the implementation and use of internal operational policies and systems and in addition you will be able to contribute to their continual refinement and improvement. UK Grade C (£27,000) or equivalent salary adjusted for local cost of living according to location / type of contract

Candidates can be based in UK or any other country in which they have the legal right to live and work and where HelpAge is able to employ and pay them legally. Where we do not have a country office in that location, we will seek to identify a host employer where possible.

 

As the Global Operations Officer, you will –

 

Support the set-up, migration and roll out of a new organizational contract management system for donor funded contracts

Train and support staff on a variety of different operational policies and systems including travel and insurance processes

Ensure compliance across operational areas such as country registrations liaising with colleagues in the Global Team and Country Offices

Support with administration activities for the team; including coordinating remote working assessments, operations procurement, and records keeping

Key areas for impact, influence and responsibility

 

In collaboration with your colleagues, you will be able to shape and design specific activities that are relevant at any point in time and also through the forthcoming transition period, with the primary purpose of ensuring that older persons lead dignified, healthy and secure lives. We want you to work creatively to deliver impact and respond to relevant opportunities. With your colleagues, you will develop your teamwork plan to drive initiatives, develop ideas, as well ensure there is space for cross-organisational working and short-term tasks. From this, you will devise your individual work plan that will form the basis of your day-to-day activities and your performance reviews.

You will be someone with:

 

Experience of working with databases and Microsoft Excel

Strong data handling skills and attention to detail

Knowledge of Microsoft Office 365 suite

Experience of providing support in an international organisation and providing excellent customer service

Experience of providing training and/or support; remotely and/or in-person

Strong organisational skills and the ability to prioritise

Excellent command of English

Desirable: experience with IATI publishing, working at an international non-governmental organization, travel management experience, supporting country registrations and compliance with legal/statutory obligations, second language spoken in a HelpAge country of operation.

Essential skills, knowledge and experience

 

You will be someone experienced in handling and working with data, have great attention to detail and knowledge of Microsoft Office 365 suite including Microsoft Excel. In addition, you will have experience of providing excellent support in an international organisation and experience in providing training both remotely and in-person. You will have strong organisational skills with the ability to prioritse in a busy environment. Desirable experience includes International Aid Transparency Initiative (IATI) publishing, working at an international non-governmental organisation, travel management experience, supporting country registrations and the various legal and statutory compliance obligations . As well as having an excellent command of English, if you speak a language used in a HelpAge country of operation that is also an asset.
