Purpose Statement
The Legal Assistant is responsible for providing essential legal and administrative support to ensure the efficient functioning of the Legal Unit. This role assists in the preparation, review, and organization of legal documents and facilitates coordination with internal departments, PRC chapters, external counsels, and court personnel.
Key Results Area: Duties and Responsibilities
Legal Document Handling and Routing
Assist in printing, scanning, copying, and preparing legal documents for review and signature.
Route legal documents to relevant departments for clearance or signature, ensuring proper logging and follow-through.
Track status of routed documents and follow up on pending items.
Ensure all signed documents are received, recorded, and properly filed.
Ensure all contracts and legal documents are logged and tracked with zero backlog.
Organize and maintain legal files and documents in a centralized filing system (physical and digital).
Filing and Records Management
Maintain organized physical and digital legal files following the naming and filing protocols of the Legal Department.
Label and archive finalized documents in accordance with the Legal Office’s retention policies.
Assist in retrieving legal documents from files and databases as requested by legal staff.
Coordinate with Paralegal and Senior Paralegal to ensure files are up-to-date and accessible.
Drafting & Review Support
Assist in the preparation and review of standard contracts, letters, or affidavits.
Maintain a legal document template library with accuracy and version control.
Legal Research
Conduct legal research to support case studies, contract clauses, or laws, regulation, and jurisprudence.
Provide summarized research reports.
Litigation and Case Support
Track the status of all active cases and hearings, ensuring 100% timely follow-ups with concerned parties.
Prepare case summaries and support documents of ongoing litigation handled by the lawyers.
Communication and Coordination
Deliver and receive legal documents from other departments, government agencies, or partner organizations.
Relay instructions, updates, and inquiries between Legal and other offices.
Maintain professionalism, confidentiality, and courtesy when interacting with internal and external stakeholders.
Assist in preparing transmittal logs and confirmation of document receipt.
Administrative and Coordination Support
Schedule appointments, meetings, and follow-ups for legal staff as needed.
Maintain legal office supplies and monitor printing materials used for document preparation.
Support logistics for legal proceedings, and official transmittals.
Prepare cover letters, routing slips, and simple administrative correspondence.
Liaise with external lawyers, chapters, court personnel.
JOB SPECIFICATIONS
Qualifications/Minimum Education:
Graduate of Legal Management, Political Science, or a related legal/pre-law course.
Personal Qualities and Skills:
Reliable, trustworthy, responsive, and punctual.
Willingness to learn and adapt in a fast-paced legal environment.
Proficient in preparing, reviewing, and formatting contracts, Memorandum of Agreement (MOA) or Memorandum of Understanding (MOU), contracts, affidavits, and legal correspondences.
Organized and able to follow standard procedures accurately.
Skilled in conducting legal research and summarizing applicable laws, rules and regulations, ad jurisprudence.
Strong ability to manage legal calendars, organize case files, and support filing of legal documents.
Professional discretion in handling sensitive or confidential materials.
Work Experience:
With at least 2 years of relevant experience in a legal, compliance, administrative role.
Experience providing legal and administrative support in the preparation, review, and organization of legal documents such as contracts, MOAs, MOUs, affidavits.
Experience managing legal filing systems and maintaining document confidentiality and integrity.
Prior work involving legal research, drafting legal correspondence, and assisting in contract is an advantage.
