About the role:
We are looking for a Logistics & Administration Officer to support the smooth and efficient running of our programme operations in Ukraine.
In this role, you will play a key part in ensuring that administrative, logistics, and procurement processes are well managed and compliant with CBM and donor requirements, including EU ECHO. You will work closely with programme, finance, and partner teams to enable effective delivery of humanitarian activities.
This position is only filled locally. With contractual conditions of the respective country. An expatriation is not intended.
You Will:
Office Administration & Logistics
Support the smooth day-to-day running of the office within a co-working environment
Maintain administrative systems, filing, and documentation in line with CBM and donor requirements (including ECHO where applicable)
Ensure compliance with national administrative requirements in coordination with finance and management teams
Travel & Logistics Management
Organise and coordinate domestic travel for project staff, ensuring cost-efficiency and compliance with donor requirements, while considering security and access constraints
Support travel arrangements for visiting CBM staff, including bookings, accommodation, invitation letters (if required), visas, and schedules
Coordinate logistics for meetings, workshops, and training (in-person, online, or hybrid)
Procurement & ECHO Compliance
Support procurement processes in line with CBM and EU ECHO requirements, ensuring transparency and value for money
Prepare and manage procurement documentation (RFQs, tender documents, and bid evaluations)
Ensure procurement files are complete, well-documented, and audit-ready
Finance Support
Support the Finance Manager with payment processing, supporting documentation, and financial record-keeping
Help ensure financial and procurement documentation meets ECHO audit requirements
Support partners and internal teams in organising compliance-related documentation
Asset & Inventory Management
Maintain and update the asset register and inventory, including periodic checks where feasible
Ensure proper documentation and tracking of assets in line with CBM procedures
These are your qualifications
A degree or professional qualification in business administration, logistics, finance, or a related field, or equivalent work experience
Relevant experience in international NGOs (INGOs), ideally within humanitarian or development contexts, or strong experience in Ukrainian NGOs or private sector operations roles
Experience working with institutional donors; familiarity with EU ECHO regulations is a strong asset
Proven experience in administration, procurement, or operations management, ideally within NGO or donor-funded environments (experience with systems such as Prozorro is an advantage)
A good understanding of Ukrainian statutory requirements, including labour law, procurement regulations, occupational safety, and data protection (GDPR)
Strong organisational, coordination, and problem-solving skills
Proficiency in MS Office
Strong communication skills and the ability to work effectively with diverse stakeholders
A high level of integrity, accountability, and adaptability
Fluency in Ukrainian; English is an asset
Identification with the Christian values and mandate of CBM.
