PAH in South Sudan: Polish Humanitarian Action (PAH) has been operating in South Sudan since 2006, as one of the first NGOs established in Jonglei State. We are a small team of dedicated individuals committed to delivering tangible and sustainable change in the largest, most populous, and most conflict-affected state of South Sudan. Due to the expertise, we have accumulated over the years especially in WASH and S/NFI, PAH led the coordination of the Jonglei Sub-national WASH and S-NFI clusters from 2014 to 2021 and 2019 to date respectively coordinating WASH emergency responses with partners to ensure that all vulnerable communities are served during crises. Our priority is to ensure that people have access to clean water and safe hygienic conditions. PAH also provides assistance to internally displaced people and most vulnerable communities, working in the sectors of WASH, Shelter NFI, Food Security and Livelihood, Protection and Education.

Background & Purpose
The Logistics Coordinator is responsible for planning, coordinating, and overseeing logistics operations to ensure the timely and efficient delivery of goods and services across all program locations. This position plays a key role in strengthening logistics systems and procedures, supporting operational needs, and ensuring compliance with organizational and donor requirements.
The role requires close coordination with all departments (programs, procurement, finance, administration, and security), as well as collaboration with external stakeholders such as suppliers, transporters, and government authorities. Frequent travel to field offices is required to provide support, supervision, and capacity building to field logistics teams.

Main Objective of the Position
Ensure overall coordination, administration, and compliance of the projects in logistics department..
Support the preparation, review, and submission of timely donor reports, budgets, and modifications.
Lead and facilitate internal and external audits and ensure document readiness and risk mitigation.
Serve as focal point for HQ and Country office for all logistical needs, including compliance, donor communications, and lessons learned documentation.
Key Duties and Responsibilities
Logistics Coordination & Planning
Lead logistics planning to ensure timely and efficient support to program activities.
Coordinate with program and support teams to anticipate logistics needs and align logistics plans with project timelines.
Ensure accurate and up-to-date logistics data for informed decision-making (stock levels, fleet usage, asset tracking, etc.).
Internal and External Coordination
Serve as the main logistics focal point for coordination with internal departments including program teams, procurement, finance, and security.
Participate in regular interdepartmental meetings to ensure alignment on operational priorities.
Maintain strong working relationships with external stakeholders, including suppliers, logistics service providers, and relevant government authorities.
Represent the logistics function in relevant external coordination forums or cluster meetings when needed.
Supervision & Team Management
Supervise logistics staff in Juba and provide technical guidance to field logistics teams.
Conduct regular field visits to provide mentoring, monitor performance, and support logistics improvements.
Ensure clear delegation of responsibilities and accountability within the logistics team.
Supply Chain Management
Oversee the full supply chain process: procurement planning, warehousing, transportation, and last-mile delivery.
Work closely with procurement to ensure efficient coordination between purchasing and delivery schedules.
Monitor supplier performance and ensure timely, cost-effective, and compliant service delivery.
Procedures & Systems Strengthening
Review and improve logistics procedures, tools, and documentation to enhance efficiency and compliance.
Ensure adherence to organizational logistics policies, donor regulations, and audit requirements.
Support the rollout and training of new logistics systems or procedures as needed.
5. Fleet & Transport Management
Ensure proper planning and management of vehicle use, maintenance, and fuel tracking.
Monitor vehicle allocation and usage across locations to maximize efficiency and cost-effectiveness.
Implement safety protocols for drivers and passengers.
6. Reporting & Compliance
Maintain accurate records and produce regular logistics reports (stock reports, fleet reports, distribution tracking).
Support audits and internal reviews by providing required documentation and explanations.
Report any logistics-related incidents, delays, or risks in a timely manner.
