Job Purpose:
The Logistics and Procurement Officer is responsible for following up on procurement and logistics operations required for the organization's activities efficiently and in accordance with approved policies and procedures. The officer also contributes to improving logistics processes to ensure the smooth implementation of projects.
Job Duration: End of 2025, Renewable upon funds availability
Duties and Responsibilities
1. Procurements:
- Execute procurement processes in accordance with the organization's policies, procedures, and donor standards.
- Prepare requests for quotations, follow up on procurement processes, and help in selecting suppliers based on competitive and transparent criteria.
- Negotiate with suppliers to secure the best prices, quality, and services.
- Support the Procurements and Logistics Manager in preparing and managing contracts, in addition to the purchase agreements.
- Maintain accurate records of all procurement activities and ensure complete documentation as per audit requirements.
2. Logistics and Event Coordination:
- Plan and coordinate conferences, meetings, and workshops, ensuring smooth logistics.
- Arrange travel, including flight bookings, transportation, and accommodation for staff and participants.
- Oversee venue selection and booking for events, ensuring facilities meet the organization's requirements.
- Coordinate catering, translation, and other logistical support needed for events.
- Ensure proper scheduling and documentation of all logistical arrangements.
3. Administration and Compliance:
- Ensure compliance with organizational policies, donor requirements, and local laws related to procurement and logistics.
- Assist in preparing periodic reports on procurement and logistics activities and submit them to management.
- Support internal and external audit processes by providing necessary documents and information.
Requirements:
- A minimum of 2 years of professional experience in a similar role preferably within national or international NGOs.
- An academic degree in Business Administration or any relevant field.
- Experience in Logistical operations.
- Good communication skills.
- Proficiency in Microsoft Office programs, especially Excel and Word.
- Fluency in both Arabic and English both written and spoken, knowledge of Turkish language is an advantage.
- Resident in Damascus, Syria, with the ability to travel across provinces.
- Familiarity with NGO compliance requirements in Turkey is an advantage.
