About the Position:
The Office Manager will be responsible for the efficient operation of Muzun’s office in Damscus. This role includes attending meetings, liaising with officials and stakeholders, and ensuring that office operations run smoothly. The ideal candidate will have 0-2 years of experience, a strong command of Arabic and English, and a Bachelor’s degree in Business Administration or a related field. NGO experience is a plus.
Duties and Responsibilities:
Office Administration:
Ensure the smooth operation of the office, including overseeing daily administrative tasks.
Maintain office supplies, equipment, and services, ensuring all resources are well-stocked and functional.
Handle correspondence, scheduling, and other administrative duties to support the team.
Stakeholder Liaison:
Represent Muzun in meetings with officials, partners, and other stakeholders.
Serve as the primary point of contact for external communications related to office operations.
Facilitate collaboration between internal departments and external partners.
Procurement and Logistics Support:
Participate in procurement committee activities, including evaluating bids and selecting vendors.
Coordinate office-related procurements and ensure timely processing of purchase requests.
Project Support:
Assist project teams in administrative and logistical tasks to ensure smooth project implementation.
Coordinate with field staff and ensure accurate documentation of project-related activities.
Documentation and Reporting:
Prepare and maintain detailed records of office operations and activities.
Ensure administrative documentation is accurately scanned, filed, and archived monthly.
Required qualifications:
Education: Bachelor’s degree in Business Administration or a related field.
Experience: 0-2 years of professional experience. NGO/INGO experience is an asset.
Languages: Proficiency in Arabic and English (both written and spoken).
Technical Skills: Proficient in Microsoft Office Suite, especially Excel.
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Demonstrated ability to work collaboratively in a multicultural environment.
