PHR’s approach includes extensive documentation of the use of illegal and inhumane weapons in armed conflicts, attacks on civilians, and the physical and psychological impacts of torture and sexual violence as a weapon of war. Other core activities include protecting the rights of those seeking asylum in the United States, the human rights implications of the COVID-19 pandemic, and halting attacks on medical facilities and frontline health professionals.

Role Description

PHR is seeking a committed Development Operations Manager with experience supporting fundraising operations in a nonprofit environment. Experience working in human rights, health, humanitarian, advocacy, or international nonprofit organizations is preferred.

The Development Operations Manager leads the systems, data, and operational processes that support PHR’s fundraising program. This role is responsible for the optimization and administration of Salesforce and related fundraising systems, ensuring accurate donor and fundraising data, efficient gift and grant administration, and meaningful reporting and analytics that inform fundraising strategy and decision-making.

As a key member of the development team, the Development Operations Manager oversees donor life cycle data management, gift administration, donor acknowledgements, campaign tracking, and fundraising performance reporting across individual, institutional, digital, and event-based fundraising. The position serves as a strategic partner to development leadership by maintaining data integrity, improving development operational workflows, and providing insights into donor engagement, giving trends, and fundraising outcomes. The role will also work closely with the Finance team to ensure proper reconciliation of all revenue and cash flows.

A successful candidate will have a proven track record in donor and database operations, working with data and ensuring its cleanliness, usability, and compliance with organizational and legal standards. They will have a strong attention to detail and understand the importance of data to drive strategy.

This exempt, full-time position reports to the Deputy Director of Development and will closely support the Senior Manager for Major Gifts. This position is based at our New York office. PHR currently operates a hybrid work model.

Responsibilities

Analytics and Operational Excellence

Manage and streamline a system in Salesforce that enables the effective and efficient management and tracking of organizational development goals across all revenue streams (institutional, individual, and digital).
Build a connected system in Salesforce to ensure accurate fundraising revenue and pipeline reports and dashboards to support development portfolio management, forecasting, marketing, and revenue tracking.
Track stewardship steps and moves-management activities for current and prospective donors.
Build and generate reports, dashboards, segmented lists, campaign trackers, and other analyses to inform fundraising strategy and decision-making, and assist with building and customizing dashboards.
Continuously improve processes to increase fundraising efficiency, data quality, and donor experience.
Development Systems Administration and Data

Manage and maintain PHR’s Salesforce donor database of approximately 400k donor accounts, ensuring accuracy and consistency.
Manage departmental processes to ensure efficient, data driven development strategies informed by timely, accurate reporting.
Support institutional fundraising operations, including grant tracking, proposal and reporting records management, and institutional pipeline reporting.
Manage systems administration, licensing, and user access for development platforms.
Manage third-party donations platforms including integration to SalesForce, reviewing reports, tracking donations, and ensuring data is entered as necessary.
Maintain up to date documentation on development operations workflows.
Onboard and train development and other colleagues in operations processes as necessary.
Gifts and Grant Administration and Financial Coordination

Oversee gift processing, ensuring data entry, mail, and gift acknowledgement, in a timely, accurate and meaningful manner.
Maintain check control log including deposits.
In partnership with finance staff, reconcile revenue from all sources in the donor database with finance’s general ledger on a regular basis.
Ensure best practice, accuracy, and compliance with donation receipting and accounting to ensure audit readiness.
Ensure systems are in place to efficiently and effectively support development colleagues managing email, direct mail and digital campaigns.
Other relevant duties as needed.
Qualifications

3 to 5 years of relevant experience in supporting development operations in a non-profit or similar organization.
Demonstrated experience administering Salesforce or a comparable CRM, including reporting, data management, user support, and system maintenance. Salesforce certification is a plus.
Working knowledge of nonprofit operations and software systems to support fundraising including email marketing, LinkedIn marketing and digital payment systems.
Working knowledge of digital and automated marketing tools is preferred.
Excellent interpersonal, communication (oral and written), attention to detail and organizational skills.
Ability to work independently or as part of a team with minimal supervision.
